Where does the money go?

What the Payments page in your club settings says about entry fees, what golfers can do while nothing is connected, and where each event chooses how players pay.

Quick answer. Not to Back9Ops. Your club's Payments page says it in its first lines: "Payments are processed by your provider and deposited into your account. Back9Ops does not hold your event money." While no payment account is connected, golfers register and pay you at the course, and you mark them Paid.

Who can do this: the club Admin. When we opened the same page as an Organizer, it said "Only an organization admin can manage payments."

Before you start

We walked this on the demo club, at desktop width, with no payment account connected. We did not connect one and we did not take a payment, so this page explains what the screens say. It does not show a payment going through.

The steps

  1. Open Settings in the left menu.
  2. Find the Payments box and press Manage payments. The Payments page opens.
  3. Read the top of the page. We saw "No payment processor is connected. Golfers can still register and pay at the course."
  4. Read the Stripe card. It said "Not connected" and "Registration payments go directly to your Stripe account." On the demo club the Connect Stripe button was greyed out and the card said "Online payment isn't available right now. Golfers can still register and pay at the course." We did not walk connecting an account.
  5. Read How it works. Among its lines: "Golfers pay through Stripe's secure checkout. Back9Ops never sees or stores card numbers." and "Refunds, payouts and disputes are handled in your Stripe account. Back9Ops updates its records as Stripe reports them."
  6. Already have a payment page of your own? The box under How it works says: "Send players to your organization's existing hosted payment page instead. Payment status is tracked manually: you mark each golfer Paid in the event's roster."
  7. Open the event. Each event makes its own choice. On the event page, the box How players pay the entry fee offers three:
    • At the course: "You collect fees and mark players Paid, just like today."
    • Collect entry fees online: "Players pay by card through a secure checkout. The money goes to Heron Bend Golf Club's own payment account." (your club's name shows instead). On the demo club, where nothing was connected, this choice was greyed out.
    • Your own payment link: "Send players to your organization's existing payment page. You mark them Paid by hand."
  8. Mark who has paid in the event's field. Each golfer has a Paid and an Unpaid button.

What you should see

The Payments page with "Back9Ops does not hold your event money." near the top, and on the event page the box How players pay the entry fee with At the course chosen.

The event's payments list, at the event's address followed by /payments, said "This event isn't collecting entry fees online. You can still track who paid at the course here." It counted golfers under "marked paid", "waived" and "still owe". On an event that takes its fee at the course, we found no button on the event page that opens this list.

If it goes wrong

  • The page says "Only an organization admin can manage payments." You are signed in as an Organizer. Ask your club Admin. Who can do what in your club lists the roles.
  • Collect entry fees online is greyed out. The event page said "Online payment isn't available right now. Golfers can still pay at the course." Keep At the course and mark players Paid by hand.
  • A golfer asks for a refund. The Payments page says refunds are handled in your own payment account, not in Back9Ops. We did not walk a refund.
  • A golfer paid at the course but still shows Unpaid. Press Paid next to their name in the event's field. We saw the button; we did not press it on the demo club.

Director's tip

This one is our advice, not a rule of the app. Pick how players pay before you send the invitation link, and say it in the invitation, so nobody has to ask.
