Who can do what in your club
Admin, Organizer and Front Desk each see different buttons. This is the list, plus how to find your own role and what to do when a button is missing.
Quick answer. There are three roles. Admin can do everything, including the club's settings, payments and billing. Organizer runs events and leagues. Front Desk works the counter: the tee sheet and adding players. If a button is missing, your role is almost always the reason.
Who can do this: anyone can read this page. Only an Admin can give someone a role. Add someone to your club has the steps.
Before you start
Know which role you have. Step 1 below shows you.
The steps
- Find your own role. Press Settings in the side menu. Under your club's name, one line tells you:
- You're an admin here means Admin.
- You run events and leagues here means Organizer.
- You work the counter here means Front Desk. You will hardly ever see this line, because a Front Desk login has no Settings, Communications or Club Page item in the side menu, and those addresses send it to the counter screen or the tee sheet instead. So if you cannot find Settings at all, you are probably Front Desk.
- Look up what you want to do in the table. A "Yes" means that role has the button or the page. A "No" means the button is hidden, or the page sends the person somewhere else.
| You want to | Admin | Organizer | Front Desk |
|---|---|---|---|
| Create an event or a league | Yes | Yes | No |
| Change an event's settings | Yes | Yes | No |
| Enter scores from the event page (Enter Scores) | Yes | Yes | No |
| Add players to an event or a league | Yes | Yes | Yes |
| Work the tee sheet | Yes | Yes | Yes |
| Send messages to players (Communications) | Yes | Yes | No |
| Edit your Club Page | Yes | Yes | No |
| Invite people and change who is on the club's staff (Settings) | Yes | No | No |
| Connect or disconnect online payments | Yes | No | No |
| Open Billing | Yes | No | No |
| Delete an event that is not running (Delete on the Events list) | Yes | No | No |
- Read the role's own description. The app describes each role in one line, where an Admin picks a role for someone new:
- Admin: "Everything, including settings and billing."
- Organizer: "Runs events and leagues; no org settings or billing."
- Front Desk: "Runs the tee sheet and adds players to events and leagues — can't change settings or cancel anything."
What you should see
For an Organizer, the left menu is the same as an Admin's, except there is no Billing item. For a Front Desk login, Communications and Settings lead to the counter screen, and Club Page leads to the tee sheet.
If it goes wrong
- A button you expected is not there. Check the table. The ones people miss most are Billing, Delete on the Events list, and Connect under Payments. Those are for an Admin. Ask an Admin to do it, or ask them to change your role. Even for an Admin, Delete does not show on an event that is running (status Active). It shows on a Draft, a Closed event, or an archived one.
- The Payments page says "Only an organization admin can manage payments." That is the Organizer view. There are no buttons on it to find. An Admin connects and disconnects payments.
- The page says "Event settings are for organizers." You are signed in as Front Desk. An Organizer or an Admin changes event settings.
- You open a page and land somewhere else. That is the same rule. A Front Desk login that opens Communications, Settings or Club Page is sent to the counter screen or the tee sheet.
- You need a different role. There is no "change role" button. An Admin removes the person from Club Staff, then invites them again with the right role. Add someone to your club has both steps.
- A person at the counter has no email address. They do not need an account. An Admin adds them by name in the Front Desk Crew box on the club's Settings page, and each one gets a 4-digit code to use on the counter screen. The code works on the counter device, which an Admin sets up with Turn this device into the front desk in the box called The front desk screen on the same page. Add someone to your club has the details.
Director's tip
This one is our advice, not a rule of the app. Give Organizer to the people who run your events, and keep Admin for the one or two people who handle the club's money and settings.
