Your event's home base

Everything about one event lives on its event page. Here is what each part is for and which button you press at each stage, from Draft to live.

Quick answer. Open Events and press your event's name. That page is home base. The big button at the top changes as the event moves along: Open Registration while it is a Draft, Start Event once registration is open, Enter Scores once it is live. Everything else on the page is a box you can ignore until you need it.

Who can do this: an Admin or an Organizer.

Before you start

You need an event. If you have not made one, start with Set up your event in four steps.

The steps

This is a tour, top to bottom. Nothing here changes anything until you press a button.

  1. The title line. The event's name, its stage beside it (Draft, Open, or the start date, such as "Starts Nov 7", once it is live), and the big button for the next stage.
  2. The four-part strip. Tee, Players, Pairings, Scoring. A finished part has a green tick. A part still to do says what is missing in plain words, and pressing it takes you to where you fix it. If your course has only one tee set, Tee is already ticked, because Back9Ops picked that set for you.
  3. The Rounds box. One card per round, with the date and a button that reads Scoring Closed · tap to open or Scoring Open · tap to close. On the card are Pairings, Field Packets, Set up flights, Settings and Add a round.
  4. Before you start. A short list of what is still missing, such as "Players registered (0)" marked Required, each with a Fix this link. It shows Not ready until the required items are done.
  5. Event Details. The format, handicap, course, tee set, dates and rounds you chose. Edit changes them. This box also holds three switches: whether the event shows on Find an event and your club page, whether golfers can add a photo of their paper scorecard, and how players pay the entry fee. The page says an organization admin changes the entry-fee setting.
  6. Event Registration. Who can sign up, when, and how many. Open sign-ups and share the link covers it.
  7. Share This Event. See it as a player shows the public page. Open & Print Flyer makes the flyer with the QR code.
  8. The Field box. Everyone registered, with their handicap and a notes column. Each player has a check-mark button (hover over it and it says Mark checked in), a pencil that opens Edit notes, and Withdraw. Once someone is checked in, a count such as "1 of 4 checked in" appears beside the registered total. Manage Field opens the full field page, covered in Build the field the night before.

What you should see at each stage

  • Draft. The big button says Open Registration. Players cannot see the event.
  • Open. The message "Event status updated to Open." appears. The big button now says Start Event. A More button hides Back to Draft and Cancel Event.
  • Live. Press Start Event. The message says "Event status updated to Active." and "Event is live — players can see it now." The big button becomes Enter Scores, and Close Event appears beside it. Starting the event does not open scoring. That is the switch on the round.

If it goes wrong

  • You pressed Start Event and a box asks "Mark it live now anyway?" The event is dated for another day. Mark it live goes ahead. Never mind waits. The box also says scoring stays closed until you open it on the round.
  • You started it too soon. Right after you start, the message has a Back to Draft button. It hides the event again and says "Event status updated to Draft." It also says the flyer's QR code and the public link won't work until you open registration. More also has Back to Draft.
  • A player cannot make it. Press Withdraw beside their name in the Field box. Before play begins there is no question box, and a bar offers Put back in. A golfer with an email address is sent a message whose subject is "Your spot is cancelled" followed by the event's name.
  • A line in the Before you start box is marked Required. Press Fix this beside it. It goes to the page where the missing piece is made.

Director's tip

Look at the four-part strip the night before. If every part is ticked except Scoring, you are ready. Scoring should be the only thing left to do on the morning.
