Open sign-ups and share the link

You want golfers to sign themselves up. Here is how to set the rules, open registration, hand out the link or the flyer, and what to do when the field fills.

Quick answer. On your event page, find the Event Registration box. Press Edit settings to set the rules, then press Open Registration at the top of the page. Then give golfers the link, or print the flyer with the QR code. Golfers sign up with their name and an email. They do not need an account.

Who can do this: an Admin or an Organizer.

Before you start

Your event is a Draft. Players cannot sign up for a Draft, and the flyer's QR code and the public link do not work until you open registration. You can preview the page yourself before then.

One thing to know first. Open Registration sends an email to everyone already in the field who has an email address. The subject is "Registration is open" followed by the event's name. If you added players to the field, even made-up ones for a practice run, they will get it. If you are practising, use an event with no players in it yet, or use addresses that are yours.

The steps

  1. On the event page, find the Event Registration box. While the event is a Draft it says "Sign-ups start as soon as you press Open Registration."
  2. Press Edit settings. These are the choices:
    • Registration opens: Open immediately, or Schedule open date and time.
    • Registration closes: tick Set close date and time if you want a close date. If you leave it unticked, the box says "No close date. Registration stays open until manually closed."
    • Capacity: Unlimited spots, or Set player limit and type the number.
    • Use waitlist when full: when the field fills, players are added to the waitlist automatically.
    • Invite-only registration: this blocks public sign-up. You can still add players yourself.
  3. Press Save settings.
  4. Press Open Registration at the top of the page. The message says "Event status updated to Open." and the box now says OPEN, with a count such as "0 of 2 spots filled."
  5. Share the event. In Share This Event you have:
    • See it as a player. This is the page golfers see. Its Sign Up button leads to a form asking for First name, Last name, an email "so we can send your confirmation" and a phone number that is optional.
    • Open & Print Flyer. The flyer shows the event, the date, the course and tees, a Scan to register QR code, a short link such as /e/23, and your club's phone number under Questions. Press Print Flyer.
    • Public event link. Open it to see the full address, which you can paste into a message or onto your club page.
  6. When a golfer signs up, the page tells them "You're signed up!" and offers View My Event. They are also sent an email whose subject is "You're signed up" followed by the event's name. The Field box on your event page shows them straight away.

What you should see

The box says OPEN and counts up as golfers sign up: "1 of 2 spots filled." Each new golfer appears in the Field box.

If it goes wrong

  • The event fills up and your waitlist is on. The box says WAITLIST OPEN and "2 of 2 spots filled. The field is full. Players can join the waitlist." A golfer who taps Sign Up sees "Registration is full" and "Add your details to join the waiting list". The button reads Join Waitlist. Afterwards the page says "You're on the waiting list" and "This event is full, so you're on the waiting list. The club will contact you if a spot opens."
  • The event fills up and your waitlist is off. The box says FULL and "Registration is full. Increase the player limit in Edit settings, or close registration if you are done accepting signups." A golfer who opens the public page sees "Registration is full" and has no way to join.
  • You want to let someone off the waitlist in. The box lists them under Waitlist with a Promote column and a Remove column. While the field is full, the Promote column says "No spots open". Press Edit capacity, raise the number, press Save settings, then press Promote. A box names the golfer, asks about promoting them into the event, and says "They'll be notified automatically." Press Promote again. They go into the field and are emailed a message whose subject is "You're in" followed by the event's name.
  • A golfer says the link will not let them sign up. Look at the box. If it says FULL, it is the limit. If it says CLOSED, registration is shut. If you turned on Invite-only registration, public sign-up is blocked on purpose. If the event is still a Draft, press Open Registration.
  • You want to stop new sign-ups. Press Close registration in the box. The box now says CLOSED and "Registration is closed.", and the public page says the same. The button becomes Reopen registration, which opens it again with no close date.
  • Everyone got an email you did not mean to send. It cannot be called back. Tell the players it was a test, and next time open registration on an event with an empty field.

Director's tip

Before you print fifty copies of the flyer, scan its QR code with your own phone, or type the short link under it into your phone's browser. If it opens your event, every copy you print will too.
