Make the groups, by hand or auto-pair
Everyone is in the field. Now decide who plays with whom. Let Back9Ops draw the groups for you, or build them yourself, and tell the golfers when you are done.
Quick answer. Open your event and press Pairings in the four-part strip. On the left are the golfers who are not in a group yet. Either fill in Auto-Group and press Generate Groups, or click a golfer and then click the group you want. When the groups look right, press Notify Players.
Who can do this: an Admin or an Organizer.
Before you start
Put the golfers in the field first. Build the field the night before shows how. The groups are made from whoever is in the field when you press the button.
If the round is a shotgun, or you want the groups to start at different holes, do Set the round: tee times or shotgun first. That page decides the holes, and this one decides the people.
The steps
- On the event page, press Pairings in the strip. The page lists UNASSIGNED golfers on the left, and says "Anyone in a group can enter scores for that whole group. No one is picked as the group's scorer."
- To let Back9Ops draw the groups: under Auto-Group, choose the Group size (2, 3 or 4 players), how to Sort by (Random, Low HCP first, High HCP first or Alphabetical), the Start hole, the First tee time and the Interval (min) between groups. Press Generate Groups. The page says how many groups it made, such as "2 groups · 4 assigned players", and each group shows its tee time and hole.
- To build the groups yourself: press Add Group. Click a golfer on the left to pick them, then click the group to put them in. The group's button reads "Group 1: select a player or team first" until you have picked someone, and "Place here" once you have.
- To change a tee time or hole: press the pencil on the group, the Edit group button. You can change the Tee time, the Hole and add Notes. Press Save.
- To give every group a time at once: press Set Tee Times, choose a Start Time and an Interval (min), and press Apply to All Groups.
- To move one golfer out: press Remove from group beside their name. They go back to UNASSIGNED.
- To remove a whole group: press the X on it. A box asks "Delete this group and unassign its players?" Press Yes, delete it, or Never mind.
- To tell the golfers: press Notify Players. Golfers who have an email address are sent a message whose subject is "Tee times are posted" followed by the event's name, with a link to the tee sheet. A green Players notified tag takes the button's place.
What you should see
UNASSIGNED shows "All players assigned", and every group has a tee time and a hole. The Tee Sheet button at the top prints the groups for the starter.
If it goes wrong
- You pressed Generate Groups and groups were already there. A box says "This replaces all 2 groups on this round with a fresh set, and everyone is re-drawn." Press Build new groups to go ahead or Never mind to keep what you have. If the event is already live, the box also warns that printed cart signs and scorecards will no longer match, and that players already on the course will be in different groups.
- You want to start over. Press Start Over. A box asks "Clear all pairings for this round? This cannot be undone." Press Clear pairings or Never mind.
- A group has five names in it. The page does not stop you. Count each group before you notify.
- A golfer you added by hand has no tee time. Press the pencil and give the group a Tee time.
- Notify Players did not send. If your plan does not include automatic messages, a grey tag says "Not sent — automatic messages are off on your plan", with a See plans link. Tell the golfers yourself and hand out the printed tee sheet. A red Notify failed tag means the send broke; try again once, then tell them yourself.
- A golfer did not get the message. A golfer with no email address cannot be sent one. The printed tee sheet is for them.
Director's tip
Press Notify Players once, when the groups are final. If you change a group after you have notified, the golfers have the old time. Tell them yourself, or ask whether it is worth another message.
