Set up the week, groups and tee times
Decide how one league night starts, tee times or a shotgun, how many golfers go in a group and what time, then save it. Use it when the defaults from the league do not fit this week.
Quick answer. Open Round Setup from the week's page. It is five short pages: how the night starts, any holes you prefer, the hole map, flights, and a last look. On the last page press Save & publish pairings. Build the groups first. Setup arranges groups that exist, so on a week with no groups yet, Save & publish pairings builds nothing and the page does not tell you. Press Generate Pairings on the week page first (an Organizer presses Build pairings), then use Setup to change when and where the groups start. If the league's defaults already suit this week, you can skip all of this. No one is emailed at any point.
Who can do this: an Admin or an Organizer. They reach the setup by different doors, shown in the first step. Who can do what in your club has the full list.
Before you start
Start your league first, with your golfers enrolled. Then build the week's groups: Generate Pairings on the Manage Week page, or Build pairings on the Organizer's week page. A league week, start to finish shows how.
The steps
- Open the week's setup. As an Admin: press Manage This Week on the league page, then Round Setup under "Need details?", or Open Setup on the Start time is set row. As an Organizer: press Manage This Week, then Show detailed week tools at the bottom. In the Round setup box press Change. In the Start method card press Change. At the bottom of the panel that opens, press Open advanced setup →.
- The page is headed Round Setup Wizard. Start Type. The page asks "How will this round start?" Choose Tee Times (groups go one after another from hole 1), Shotgun (all groups start at the same time, one group per hole) or Modified Shotgun (some holes get two groups when there are more groups than holes). Set the Start Time and Players Per Group: 2 players, 3 players or 4 players. Estimated Groups is a guess, so trust the Pairings are ready row on the week page for the real count. Press Continue.
- Preferences. "Any hole preferences? (optional)" Type Preferred starting holes or Holes to avoid, separated by commas, or leave both empty and Back9Ops chooses. Press Continue.
- Hole Map. On a tee-time night the page says "Tee-time rounds don't need a hole map — each group gets a tee time instead." Press Continue. On a shotgun night, press Auto-assign groups to holes, then change any group's hole, and press Save.
- Flights. Flights are optional: they split golfers into skill groups, such as Flight A and Flight B, who compete separately. Most leagues skip this. The page says "Flights are off for this round — all players compete together." Press Continue.
- Review & Publish. Press Save & publish pairings. On a week whose groups are built, the groups are re-timed or given their start holes to match the choices you made, and you land back on the week page. No message appears and no one is emailed. The other button, Done without publishing, takes you back to the week without changing anything.
- Back on the week page, check the Pairings are ready row. It says how many groups there are, such as "2 groups are set (Tee Times)".
What you should see
The Pairings are ready row showing a count such as "2 groups are set (Tee Times)", and the Scorecards are ready row showing "8 scorecards are ready · QR enabled".
If it goes wrong
- You pressed Save & publish pairings and nothing changed. If the week had no groups yet, that is what happens. Go back to the week page, press Generate Pairings (or Build pairings), then come back to Setup and publish again.
- The groups look wrong. Open Round Setup again, change the settings and publish again. Setup moves the groups' start times and holes. It does not move golfers between groups. To remake the groups from scratch, press Regenerate under Fix a Problem on the Manage Week page. The page warns that manual edits will be lost.
- You wanted to look before changing anything. Press Done without publishing. Nothing is changed.
- You switched to a shotgun and the week page still shows hole 1 for every group. The Organizer's week page can keep showing the old hole and time until scoring opens. The list under Enter / Edit Scores then shows each group's real start, such as "Group 2 · Hole 9". Check that list before league night.
- You want to move one golfer. Setup does not do that. To move a person or add a late golfer, use Edit Group Assignments or Attendance on the Manage Week page.
Director's tip
Pick the start type once at the beginning of the season, not each night. Most clubs run the same way every week, and the league's own defaults carry it.
