A sub is playing this week

Record that a member is out this week and who is playing in their place, a friend or another member on your roster. It also says what the groups and the printed cards did when we tried it.

Quick answer. Open the week's Attendance step, press + Add someone who's out, pick the golfer, and choose Absent (not playing) or Substitute (someone else playing). For a substitute, pick a member from your roster or type any name for a guest, then press Add exception. A substitute you pick from the roster is swapped into the groups and onto the printed cards. On our walk a guest's typed name did not appear on either, and a golfer marked out was still in a group. Look at the groups again before you print. We did not walk any message going out from this panel, so tell the golfer and the sub yourself.

Who can do this: an Admin. This was walked as an Admin. We did not walk it as an Organizer. Who can do what in your club has the full list.

Before you start

The league needs its golfers enrolled, as in Start your league. A substitute from your roster has to be on the club's player list too. A guest does not: you only type a name.

The steps

  1. Open the league and press Manage This Week. On the Manage Week page, find Fix Player Assignments under Fix a Problem. The page says "Add or remove players, record absences, or assign substitutes." Press Attendance.
  2. The page is headed with the week and your league's name, such as "Week 4 · Cold Read One". Press Show detailed week tools, then press the Attendance step, STEP 1, to open it.
  3. The panel is headed "Step 1: Who's out this week?" and says "Everyone plays by default. Only mark people who are absent or need a substitute." A badge reads "All players in". Press + Add someone who's out.
  4. The Add exception form opens. Pick the Player who cannot play. Under Status, choose Absent (not playing) if nobody is taking the spot, or Substitute (someone else playing) if somebody is.
  5. For a substitute, a Substitute name box appears. The page says "Pick someone from your roster, or type any name for a guest." Choose a member from the list, or type the guest's name.
  6. Press Add exception. The golfer shows as a row with Remove beside it, such as "Bob Hendricks Sub — Substitute: Sam Fairway", or "Ed Kessler Out". A substitute chosen from your roster carries a small badge, on your roster. A badge near the top counts them, such as "3 out", and the foot of the panel says "3 exceptions recorded — pairings are eligible."
  7. Look at the groups again. Go back to the week page, check who is in which group, and only then print the cards. Print the week's scorecards shows how.

What you should see

A row for each golfer who is out, with Remove beside it, and the count badge at the top of the panel. A substitute you picked from the roster shows on your roster.

If it goes wrong

  • You marked the wrong golfer. Press Remove on that row. The golfer is back in.
  • A golfer you marked Out is still in a group, and on the printed card. That is what we saw. We marked Ed Kessler out, and he was still listed in a group on the printed cards. Check the groups before you print, and take him off the card by hand.
  • A guest sub's name is not on the card. We typed a guest's name against Bob Hendricks. The groups and the printed cards showed Bob's name, not the guest's. Tell the group who is really playing, or write the name on the card.
  • A sub from your roster is not in the groups. We saw a roster sub, Tom Whitfield, in the groups and on the printed card. If yours is missing, look at the groups again after you add the exception. We did not walk a week where the groups had been edited by hand first, so we cannot say whether those edits survive.
  • A golfer tells you themselves that they are out. A golfer's own league page has an I'm out this week button. We did not walk that one, so we cannot say what you will see on this panel when a golfer presses it.
  • You are an Organizer. We did not walk it as an Organizer.

Director's tip

Record who is out the day before, not at the first tee. Then look at the groups and print. On league night the starter has one page to follow.
