Bring players in from a spreadsheet
Got the field in a spreadsheet? Two pages read a CSV file for you, one that fills a single event and one that fills your whole roster. Here is what each shows you before it saves anything.
Quick answer. You have two upload pages, and both show you a list to look over before anything is saved. Add Players from a List puts people into one event's field. Import on the Players page adds people to your roster, with no event at all. Save the spreadsheet as a CSV file first.
Who can do this: an Admin. This was walked as an Admin. We did not walk it as an Organizer.
Web only. This article covers the web pages. We did not check the phone app.
Before you start
Save your spreadsheet as a CSV file. For an event, the file needs the golfers' names. For the roster, each row needs a first name and a last name. Email and handicap are optional on both.
The steps
Fill one event from a list
- Open the page. On the event's Field page, press Add Players from a List. The page says "Add Players from a List" and "Choose your file."
- Pick your file. The page explains two shapes, "one player per row, or a team sheet with several players across each row." The one-per-row example is First, Last, Email, Handicap. The team sheet example has a Team # column and Cart #1 and Cart #2 columns with a golfer's name in each. It also says "Notes, paid markers, blank seats and a wait list at the bottom are left out automatically. Nothing is saved until you have looked it over."
- Read what we read. The next page is "Here is what we read." For a one-per-row file it said "5 players, one per row." For a team sheet it said "2 teams, 8 players — up to 4 per team, 2 per cart," and showed each golfer's team and cart number. A line sums it up, such as "4 new" and "1 already on your roster."
- Check each row. Each golfer has a What we'll do box. The choices are Add as a new player and Leave out. When a name matches someone already on your roster, a third choice appears, such as "Use Briar Thistlewood · hcp 9.0". The page says "New players start as Men, which decides their tees and rating." A Tees column lets you switch anyone to Women's.
- Press the Add button. It reads "Add 5 players to this event," with the number for your file. Under it the page says "No emails will be sent."
- Read the result. The page said "All set," "4 added to the field," "4 new players created," "1 matched to someone already on your roster — no duplicates made" and "1 were already in the field." Press View the Field to see them.
On the team sheet we only walked as far as the list ("Here is what we read"). We did not press the Add button on it, so we did not see the teams come out the other side.
Fill your roster from a list
- Open the page. On the Players page press Import. The page is Bulk Import Players.
- Choose your file. "Step 1 — Choose your CSV file." The example is FirstName, LastName, Email (optional), Handicap (optional), and the page adds "Full Name is also supported."
- Review it. The page says "Review — 4 rows found" and sums up: "1 match players you already have," "2 new," "1 error," "1 will be marked member." Each row says what will happen:
- Add as new for a name you do not have.
- Update existing for a name you do have. It says "Will add" and the blank fields it will fill in, then "Nothing you typed is overwritten." When there is nothing to fill it says "Already up to date — no changes."
- Skipped with the reason, such as "Last name is required."
- Press Import. The button counts the rows it will take, such as Import 3 rows. The page said "Import complete," "2 players added. 2 rows skipped." and "1 marked as member." It adds "Re-importing this file later is safe — matched players are updated, never duplicated."
The roster file can also have a Member column. The page says "A blank or "No" in the Member column never removes an existing membership — remove members from the roster page."
What you should see
On the event: the new golfers are in the Field. On the roster: the new names are on the Players page. The event page says "No emails will be sent." We did not check emails on the roster upload.
If it goes wrong
- A row says "Skipped" and "Last name is required." The roster page needs a first and a last name on every row. Fix the file and upload it again.
- I uploaded the same file twice. The roster page says re-importing is safe. The event page says "Importing again will not add them twice." We saw the event page say "1 of these players is already in this event."
- The page says "2 rows skipped" and I only see one error. Our file had one error row and one that was already up to date, and that matches what the page told us: one error row and one row that needed no change.
- A bad email address went in. Our roster file had one row whose email was "not-an-email". The page showed no warning and added the player as new. We have written it up as a bug. Check the email column before you upload.
- A handicap column I filled in came out blank. We put a word where the handicap should be on an event upload, and it came in as no handicap, with no message. We have written this up as a bug. Check the handicap column holds numbers.
- A name matched the wrong person. On the event page, change that row from "Use" to Add as a new player. The roster page has the same choice for a close match, with Different person — add new and Skip this row. We did not walk the roster page's version.
- Everyone came in as Men's. That is how new players start. Change the Tees column before you press the Add button, or fix it on the Field and Teams pages afterwards.
- I want to bring in handicaps only. Use the handicap page. See Bring handicaps in from a spreadsheet.
Director's tip
Upload the roster first, then the field. Names that match someone on your roster come in matched, with no duplicate, and you only ever type each golfer once.
