Fix the groups on game day morning

Someone didn't show up, someone dropped out, someone showed up late, or two friends want to play together. Here is how to take a golfer out of a group, put one in, and rebuild the groups if you have to start over.

Quick answer. Open Pairings on the event page. A golfer who is in no group sits in the UNASSIGNED list on the left. To move someone, press the small Remove from group button beside their name, tap their name in the UNASSIGNED list, and then tap Place here on the group you want. The change is saved when you tap.

Who can do this: an Admin. This was walked as an Admin. We did not walk it as an Organizer.

Web only. This article covers the web pages. We did not check the phone app.

Before you start

Have the groups built already. Make the groups shows how. Know who is in and who is out before you start, because the Pairings page can only place the golfers who are in the field.

The steps

  1. Open Pairings. On the event page, press Pairings. The page is titled with the event's name and "Pairings".
  2. Read the left side. The UNASSIGNED box counts the golfers who are in no group and lists each name with a handicap. When everyone is placed it says "All players assigned". Under it is the Auto-Group form.
  3. Take someone out of a group. On the right, each group is a card such as GROUP 1, with its tee time and "Hole 1". Beside each golfer's name is a small Remove from group button. Press it. The golfer drops into the UNASSIGNED list.
  4. Put someone in a group. Tap the golfer's name in the UNASSIGNED list. Every group now shows a Place here button with its number, such as "Place here — Group 1", and the words "Click here to drop them in". Tap the group you want.
  5. Read the count. The page keeps a line such as "3 groups · 5 assigned players".
  6. Check that it stuck. Reload the page. Our groups were the same after a reload.
  7. Change the tee times, if you need to. Press Set Tee Times. We did not press it.

If you have to start over

  1. Open the Auto-Group form. Choose Group size (2, 3 or 4 players), Sort by (Random, Low HCP first, High HCP first or Alphabetical), the Start hole, the First tee time and the Interval (min).
  2. Press Generate Groups. The page warns first: "This will replace any existing pairings for this round." Every group you built by hand is gone. With five golfers and groups of two we got three groups, at 8:00, 8:10 and 8:20.

What you should see

After we took one golfer out of the last group, the UNASSIGNED box said 1 and showed their name. After we placed them in Group 1, it said "All players assigned", Group 1 held three golfers, and the last group was empty. An empty group stays on the page, with the words "Select a player or team, then click here".

If it goes wrong

  • A golfer didn't show up. Press Remove from group beside their name, so their group is right. Then go back to the event page and, in the Field box, press Withdraw beside their name. On a live event a box asks "Withdraw this player from the round?" and says any scores they posted are kept and they are marked WD. Press Withdraw player. Their row then shows WD and a Put back in button, which puts them straight back if they turn up after all. Withdrawing can also email the golfer; Build the field says what it sends.
  • The scorecards are already printed. Changing the groups makes the printed packet out of date. On Field Packets, use Reprint one group for each group you changed. Do not press Regenerate packet on game day: it replaces every QR code already printed, so the cards in the other carts stop working. Print scorecards and field packets has the detail.
  • A golfer is missing from every group. Look in UNASSIGNED first. If they aren't there either, see Someone is missing from the group.
  • I pressed Generate Groups and my careful pairings are gone. That is what the warning says. Generate Groups replaces them. There is no undo that we found, so build the groups by hand again.
  • I can't see Place here. Tap the golfer's name in UNASSIGNED first. The Place here buttons only show after you pick someone.
  • An empty group is left over. We did not walk the Delete group button, and we can't say what it asks first.
  • The groups are right but the golfers don't know. The page has a Notify Players button. We did not press it, so we can't say what it sends or to whom.
  • I want two friends in the same group. Remove one from their group, then place them in the other friend's group, as in step 4. A group can hold more than the size you chose in Auto-Group, since our Group 1 took a third golfer.
  • I want to move a golfer straight from one group to another. We removed and placed, as above. We did not try dragging.

Director's tip

Fix the groups at the table with the paper sign-in sheet beside you, and tick each name as you place them. When UNASSIGNED says "All players assigned" and the count matches your sheet, you are done.
