Add a player by hand, and fix one
Put one golfer on your club's list with a name, an optional email and handicap, and a checkbox that sends an invite. Then open their page to fix a handicap, send an invite later, or deactivate them.
Quick answer. Press Players in the left menu, then Add Player. First Name and Last Name are needed. Everything else can wait. Press Add Player at the bottom. To fix a golfer later, press Edit on their row on the Players list. That page has their details, a History tab, and Deactivate at the bottom.
Who can do this: an Admin or an Organizer. This was walked as an Admin. We did not walk it as an Organizer.
Before you start
One golfer at a time is for the odd name: the sub on Tuesday, the guest who just signed up in the pro shop. For a whole roster, use Bring players in from a spreadsheet instead.
The steps
- Press Players in the left menu, then Add Player. The page is headed Add Player and says "If the player's email matches an existing login account, they'll be linked automatically."
- Look them up first, if they might already use Back9Ops. The box at the top says "Look up an existing Back9Ops account". Type their email or their Back9Ops number (it looks like B9-XXXX-XXXX) and press Look Up. It either shows the person it found or says "No confirmed account found." When it finds someone, a small Pre-fill form button sits beside their name. Press it and their email goes into the form, and their name too if the account has one. The page stays where it is. We pressed it on a test account that had no name on file, and only the email filled in. You do not have to use it.
- Fill in the form. First Name and Last Name have a star. The others are Email, Phone, Gender, Handicap Index, Status and Notes.
- Type the handicap the way golfers say it. Leave it blank if you do not know it. A plus handicap takes a plus sign in front: +2.4. The page says so under the box.
- Decide about the invite. The box Send invite email after adding starts ticked. It works only when you have typed an email address. Untick it if you want to add the golfer quietly.
- Press Add Player. You go back to the Players list. A note at the top says what happened: "An invite email was sent to" the address, or "Player was automatically linked to an existing account." when the email matched a login.
Open one golfer to fix them
- On the Players list, press Edit on the golfer's row.
- The page shows the golfer's name with Active beside it. The Profile tab has the same fields as the add page plus GHIN Number. Change what you need and press Save Changes. Saved shows beside the button.
- The History tab lists the events the golfer has entered. A golfer with none says "No events entered yet".
- Send message at the top opens the Communications page for that golfer.
- For a golfer with an email who has not joined yet, the box No player account yet has Send Player Invite. It says when the last invite went out. A golfer with no email says "No player account — no email on file": add an email above, save, then send the invite.
- Deactivate is at the very bottom. The page says "Inactive players won't appear in event registration." The same spot then reads Reactivate, which says "Restore this player to active status."
What you should see
After Add Player the golfer is on the Players list. In our walk we added a fictional golfer with a +1.5 handicap, and the list showed it as a plus handicap. After we opened her page and pressed Deactivate, she showed as Inactive.
If it goes wrong
- "Enter a valid handicap, e.g. 14.2 or +2.4 for a plus handicap." The handicap box holds something that is not a number. Type it like 14.2, with a plus sign in front for a plus handicap, or clear the box.
- "This looks like someone already on your roster." You are about to add a second copy of a golfer. The panel lists the likely matches with their email and handicap, and an Open button for each. Press Open to use the golfer you already have. If this really is a different person, press No, these are different — add as new.
- A golfer got the invite twice, or never. The invite goes only when the email box is filled in and the box is ticked. On a golfer's page, Send Player Invite sends it again and shows "Invite sent to" the address.
- A golfer is missing from an event's list. Check whether they are Inactive. Open their page and press Reactivate.
- You cannot save. Look for a red message at the top of the form or under a box. It names what is missing or wrong.
Director's tip
This one is our advice, not a rule of the app. Add the email even for a golfer who never uses the phone. It is how a golfer finds their own handicap, their groups and their week later without asking you.
