Download all your club's data

One button on the club's Settings page gives you a ZIP file of your players, tee sheets, events, scores, league standings and messages that opens in Excel or Google Sheets. What is in it, what is not, and who can press it.

Quick answer. As an Admin, press Settings in the left-hand menu, find the box called Your data and press Download everything. You get one ZIP file full of CSV files. They open in Excel or Google Sheets. Nothing in your club changes when you do this.

Who can do this: a club Admin. We saw an Organizer get no Your data box. An Organizer who opens the download address is sent to a page that says "Access denied".

Before you start

Pick a safe place to keep the file. The page warns you: "It holds your players' names, emails and phone numbers, so keep it somewhere safe." Treat it like a printed member list.

The steps

  1. Press Settings in the left-hand menu. The club's Settings page opens.
  2. Find the box called Your data. It says "Download a copy of your organization's Back9Ops data. You'll receive a ZIP file containing CSV files you can open in Excel or Google Sheets."
  3. Press Download everything. The page says "Preparing your file. Your download will start in a moment."
  4. The file arrives named like back9ops-export- then your club's name in lowercase words joined by dashes, then the date, ending .zip. On the demo club it was back9ops-export-heron-bend-golf-club-2026-10-15.zip.
  5. Open the ZIP. Double-click the files inside to open them in a spreadsheet.

What you should see

We opened the file from the demo club and read it. At the top of the ZIP are players.csv, club_members.csv, courses.csv, events.csv, leagues.csv, league_members.csv, messages.csv and a README.txt. There are also folders: tee_sheet has one file for each course, events has a folder for each event with files such as field.csv and scores.csv, and leagues has a standings.csv for each league. The demo club's file had 51 players in players.csv and held 267 files and folders in all. Yours will differ with your club.

players.csv has a row for each player with the columns PlayerId, LastName, FirstName, Email, Phone, GHIN, HandicapIndex, Gender, Status and B9PlayerId.

The README.txt in the ZIP says what is and is not in the file. It lists: everyone on your player list with contact details and handicap, your club members, your courses, every tee time booked at each course, every event and league night, and for each event who registered, the hole-by-hole scores, the final standings and any contest results. It also lists each league's standings, who is in each league, and every message you wrote to players. It says "Nothing in Back9Ops was changed when it was made."

The README also says what is NOT in the file: sign-in details, passwords and security keys; pictures such as logos, event banners and player photos; events and leagues you deleted; and Back9Ops's own system records.

If it goes wrong

  • You do not see a Your data box. You are probably not an Admin. Ask an Admin to download it. Why can't I see a menu or button? explains how to check your role.
  • The page says "Access denied". The download address only works for an Admin of that club.
  • Nothing downloads. Check your browser's list of downloads, then press Download everything again. In the source, if building the file fails, the page says "We couldn't build your file. Nothing has changed. Try again, or" with an email address. We did not walk this one.
  • A cell in the spreadsheet starts with an apostrophe. The README says a cell that starts with =, +, - or @ has an apostrophe added in front, so a spreadsheet shows it as text instead of running it as a formula.
  • A file has only a heading row. The README says that means there was nothing of that kind to copy.
  • A player or an event you expected is missing. The README says deleted events and leagues are not in the file. Check that first.
  • You need more help. Email support@back9ops.com and tell us your club's name and what you were looking for.

Director's tip

This one is our advice, not a rule of the app. Download a copy at the end of every season and keep it with your other club records. The README itself says to delete copies you no longer need, so do that too.

Still stuck?

Email support@back9ops.com and tell us your club's name, your role, and the exact words on the screen.

Still stuck?

Email support@back9ops.com and tell us what you were trying to do. It helps to include the event or league name and what kind of phone or computer you are on.
