Tell your league: reminders and rain notices
Send one email to everyone in your league, a reminder before league night or a notice that it is rained out. It shows how to pick the league, read the preview and send.
Quick answer. Press Communications in the side menu, then Compose Message. Choose the League card, pick your league, choose Email only, write a subject and a message, read the preview and press Send Now. It goes to the golfers in that league, at once. Leave the greeting off, because the email starts with "Hi" and the golfer's name by itself. Do not use {{EventName}} in a league message. It came out blank.
Who can do this: an Admin. This was walked as an Admin. We did not walk it as an Organizer. Who can do what in your club has the full list.
Before you start
The golfers have to be on the league's roster, as in Add your members. Send a message to your field covers the same page for an event, and says that a golfer with no email address on file is skipped there.
The steps
- Press Communications in the side menu. The page says "Send messages to your players — and see exactly who got them." Press Compose Message. Five steps run across the top: Audience, Channel, Message, Preview and Send.
- Audience. Choose the League card ("All members in a league"). A Select league box appears. Pick your league from it. Press Next: Channel.
- Channel. We chose Email only. Press Next: Message. We did not send through the other cards.
- Message. Type a Subject line. The box shows an example, "e.g. Tee times are ready for Saturday!" Type the Message body. For a reminder, we wrote "Weather looks fine. See you at 5:00." For a rain notice, say it in the subject, such as "Tonight's league is off", and give the make-up date in the body if you have one. Press Preview.
- Preview. The page says "REVIEW BEFORE SENDING". It shows TO ("League — Cold Read One", with your league's name), RECIPIENTS ("9 players"), VIA ("Email"), the subject and the message. Check the league's name and the count. Press Edit to change anything, or Set delivery options to go on.
- Send. The page asks "When should this go out?" It offers Send now ("Deliver immediately to all recipients") and Schedule ("Set a future date and time"). Press Send Now. The page says "Sent to 9 recipients."
- Check what went out. Press the Broadcasts tab. Your message has a row with its subject, the number of recipients (9), a Sent badge and the audience (League).
What you should see
"Sent to 9 recipients." on the page, and a row for your message on the Broadcasts tab. The email we caught had our subject, then "Hi Dave Prentiss," and then our message.
If it goes wrong
- The email says "League: ." with nothing after it. We put
{{EventName}}in a league message and the email came out blank at that spot. Type the league's name out in your message instead. - The email starts "Hi" and the name, and your message starts with "Hi" too. Our email began "Hi Dave Prentiss," on its own. Leave the greeting off your message. Send a message to your field says the same.
- You sent it to the wrong league. Read the TO line on the preview before you press Send Now. We did not walk any way to call a message back once it has gone.
- A golfer says they got nothing. They may have no email address on file. We did not open the delivery details for our league message. In the event walk, golfers with no address were skipped and the details said so. Send a message to your field shows where to look.
- You want it to go out later. The Schedule choice is on the same step. We did not walk it for a league. Schedule a message to go out later covers it for an event.
- You want a different channel. We chose Email only and did not send through Player Inbox only or Push only.
- You cancelled a week and nobody was told. We saw no message go out when we cancelled a week. Send this one. It rained out shows how to cancel.
- The Manage Week page has its own message buttons. Under Send a Message are Scoring Is Open, Remind Missing Players and Send Results. A league week, start to finish covers them. We did not press them in this walk.
- You are an Organizer. We did not walk it as an Organizer.
Director's tip
Send the reminder at noon on league day, and say the one thing golfers need: whether it is on. A rain notice that arrives before they leave work is the one they thank you for.
