Counter staff with no email
Add the people who work your counter by name, give each a 4-digit code, and turn the counter device into the front desk. No email or password for anyone.
Quick answer. Press Settings and find the Front Desk Crew box. Type the person's name and press Add to crew. The page shows their 4-digit code once, so write it down. Then, once, turn the counter computer or iPad into the front desk. Staff tap their name and type their code. Nobody needs an email address or a password.
Who can do this: an Admin. Who can do what in your club explains the roles.
Before you start
Decide who needs the counter: the pro shop, the starter, the clubhouse help. If someone has their own email and their own laptop, you can invite them as Front Desk instead, in Add someone to your club. The crew is for people who share the counter device and do not have, or do not want, an account.
The steps
- Press Settings in the side menu. Your club's page opens.
- Find the Front Desk Crew box. It says people working the counter do not need an email or a password.
- Type the person's name in the box that says "Name — e.g. Jess". The Add to crew button wakes up when there is a name in the box.
- Press Add to crew. A line appears with their name and their code, and it says to write it on the schedule. Write it down now. The list below shows only each person's name and when they last signed in, never the code.
- The person appears in the list with Last used saying "Not yet". Give them their code on paper or in person, not in an email or a text.
- Once, on the counter computer or iPad, sign in as yourself and press Settings. Find The front desk screen. Press Turn this device into the front desk. The page warns that this signs the device out of your account and into the counter. Press Yes, make this the front desk. If you are not ready, press Never mind.
- The device now shows Who's working the counter? with your crew's names. Hand it over. They follow Signing in at the station.
What you should see
The new name in the Front Desk Crew list, and the same name as a button on the counter device.
If it goes wrong
- Someone forgot their code. Press New code next to their name. The new code shows once, and the old one stops working.
- Someone is locked out. After five wrong codes in a row a name is locked for about a minute. Their row shows Locked out. Press Unlock and the page says they can sign in again with their current code.
- Someone left, or you added the wrong person. Press Remove next to their name. It works at once and does not ask first. The name disappears from the counter's list. There is no rename button. To fix a spelling, remove the person and add them again, which gives them a new code.
- You added the same name twice. The page lets you, and the counter then shows two buttons with that name. Remove one. Using a different name for each person, such as "Jess A." and "Jess B.", keeps the counter easy to read.
- The counter device shows the Back9Ops home page. The device was signed out. Press Sign In, sign in as yourself, press Settings, and do step 6 again.
- You want your own account back on the counter device. Press Sign Out at the top of the counter screen, then Sign In as yourself. The crew and their codes stay as they are.
- The new person is not in the Club Staff list. That is normal. Crew members are not accounts, and neither is the counter device. They never appear under Club Staff.
Director's tip
Print the schedule with each person's code on it and keep it in the office, not at the counter. When someone leaves, remove them the same day.
